Just a note, most of the admin live in and around NYC, so for it to work the location needs to be somewhere around the city.

Dates we can figure out once we find a space that will work for us/with us.

--Needs to accommodate @300 people
--Need access at least half day and evening Sat.for set up and all day Sun. for the event itself

--Needs substantial electrical access throughout the venue

--Needs vendor load-in access

--Needs to be ok with a lot of Salt water

--Needs a way to dispose of the water at the end.

--and needs to not cost a ton of $$$

--parking is also a concern

there are plenty of other considerations, but these ALL are baseline for putting on a swap event.

you can always try carpooling where ever it ends up. surely there is someone who lives nearby who would be willing to take you if it turns out not to be by public transportation.

The Doral arrowwood hotel and the ryebrook Hilton are very affordable and reasonably priced for events and are both only 25mins from Manhattan in westchester NY with a lot of parking

You should check out the Westchester County Center in White Plains they always have the reptile expo there and they are reasonably priced and have all the amenities that you were looking for
