I know that vfw usally rent out there space i wonder if they have a big enough one i know that my union sometimes uses one in long island city for votes etc...And I for 1 hope that a profit is made this way there is incentive to make swap/site bigger and better!

here's a novel thought, if you don't like the venue, don't come! Plenty of people would be happy to take your spot. It blows my mind that people think planning these events is a walk in the park. If it were as simple as "the location must fit x amount of people" don't you think it would have been done already? Frankly, it is very insulting to the people who bend over backwards to organize these events to hear all of this complaining MONTHS before the swap.

again everyone takes everything hard.im not argueing so read this like im speaking.i want to know how hard it is to put this together.i think finding a venue would be the hardest part.the vendors do all the work.all that goes into it on MR part is gathering enough vendorsand finding a affortable place.they dont neeed to hand out flyers and put out adds for people to show they have this site.im sure its expensive to run MR but they have sponsers and vendors that pay a cost every year to subsadize most of the cost.and im also not saing MR shouldnt make a profit.i know i would if i had a site like this.i never attended a swap because of some of the stories i heard and the mass crowd that runs fo the free pizza LOL.if im wrong in what im writing then please correct me.

back to topic, sorry to hear about the fallout with pace. again, i have contacts at a parochial school in the bronx with a sizable open cafeteria, spanish food caterers, a small parking lot and easily accessible by 4 and D trains.

I have contacts w/ a bunch of schools in queens which would be a nice change. I offered my help to find a new venue last time this topic came up. IF Josh is interested Josh or mods let me know. If not then I will help any other way I can, see everyone at Pratt.

The vendors do all the work????? You really have to be joking now, either that or you just don't have a clue on organizing an event. Then again if you did, you wouldn't have posted what you just did. These events don't just happen because we find a place, or have gather enough vendors, there is a lot of work and time that go into the planning, processing, setting up, running and breaking down of these events. And lets not forget that everyone involved has a full time job, and a life too.

As for what vendor and sponsor paying to subsides MR, well I think you need to look at what the price is for a forum or a banner ad, you'll find it's pretty cheap.


The costs and what it takes to run a swap all been brought up before, if you look into the last Swap Forum you'll see that everything was addressed.

OK, let's get a couple of things straight.

First of all, we didn't pick Pratt because they gave us the date before Pace. We had been working with Pace for MONTHS to get a date much earlier than the current date. The administration is not willing to work with us and has basically blamed us for their own internal issues. For example, they sent us a bill 6 months later and then demanded that we issue payment within 2 days. Also, there was a major issue with the food last time, and the fact that we brought it to their attention angered someone who thought we were complaining. Each swap we have agreed to pay for more and more staff, and each time they stated that there was some issue and it was because we did not hire enough staff. We're paying overtime for security, janitors, assistants, etc. To make a long story short, they wanted to increase the price for the space by a few thousand dollars and there was no way we could agree to that given how unprofessional they have been. Randy, in his infinite selflessness, agreed to get the Pratt space for us so we could even do the swap this Fall. I cannot explain to you the levels he had to go to to get this approved, but it was above and beyond.

We are always looking at new and better spaces. Yes, we need a larger space. We had been operating with discounted venues to keep costs down. The swap does NOT make much money at the end of the day, whoever is throwing around numbers of 20+ vendors at $400 per table is completely wrong. First off tables are $300. We also comp a table here and there to incentivize certain manufacturers/others to see the event. If we think it would be worthwhile for them to come to the event, and for example they are in California, the only way we can get them is to give them a table.

We also pay for the following: insurance, food ($3k+), assistants, janitors, security, AV rental, table rentals, travel and honorarium for speakers, food for out of town guests, hotel rooms for speakers, supplies, water/salt stuff, decorations, food/drink for the people who set up ALL DAY on Saturday, etc, etc.

Let me tell you, it is a miracle we don't bounce checks when all this money is coming in and going out in the weeks leading up to each swap.

The price for admission has been $25 for 4 years now. If we want a larger space we have to increase the price of the event and that is something I did not want to do with how expensive the hobby is and how bad the economy has been to many people here. If we move to a new location, we can expect a lot of other issues (specifically we need the room for almost 2 days instead of the one day we pay for at Pace and Pratt). There are a whole slew of new issues related to logistics, saltwater setup, security, and in general not pissing off our new hosts so we can do it at the same location more than once. We can't exactly move the location of the swap every time, we need to know what to expect and hopefully this knowledge transfers to a smooth running event.

This thread was to answer the question "Why is it not at Pace?" which I think I have done. We exhausted every option with them and they did not want to be a partner for our event. I would rather pay more for a professional venue than a cost increase to a host and ignore all of the issues we have put up with for the past 4 years.

So now comes the task of looking for a new venue. If you have an idea (and a lot of you do), PM ME. I will examine every option you provide.

agreed there is def a lot of work that goes into it it's not just setting up it's the planning. Without a plan there is usually a disaster when executing anything whether it's an event like this or a football play. I know Kathy spends many hours alone just on the raffle contacting various vendors and sponsors getting them to give up good stuff for the raffle. Speaking as someone who did the very same thing when I ran my radio station trust me it's not easy to get people to give stuff away especially good stuff people want. Think about if you ever moved 1 tank..imagine moving 20 of them. Water has to be mixed,gotten to the right temp,parameters must be in check, corals and fish need to be acclimated etc. etc. Hence why they do the setup a day in advance so they have the whole day to do so.

There always seems to be so much bickering over these swap events. So much so that it has kept me, and others, i'm sure, from attending. It really puts people off.
Why is there such a sense of entitlement from the "naysayers".
Put it in the Whaaaa thread where it belongs.
Keep your head up MR admin. I work in an event driven business and it is hard to make everyone happy.
At least you don't have Brides to deal with LOL.
